Our Client based near Gillingham is seeking an experienced Operations/Shipping Coordinator.  The role is to ensure the correct amount of product is shipped on schedule and at the right cost with all the correct documentation for customs clearance.


Key skills:

  • Experience of shipping goods from the Far East

  • Highly computer literate, accurate data entry skills

  • Able to retain vast amounts of information

  • Logical thinking, excellent organisational skills

  • Able to work under pressure and to strict deadlines

  • Able to managed multiple projects


Suitable candidates should possess the following skills/experience:


  • Experience in production planning, scheduling, supply chain management

  • A general understanding of production planning principles, theories and concepts

  • Ideally A level educated or equivalent


Duties will include but are not limited to:


  • Chase UK suppliers for delivery dates, negotiating to improve dates where necessary and escalate problems. 

  • Chase Far East suppliers for delivery dates, monitor production to ensure shipping dates are met – resolve issues

  • Negotiate rates & trading terms with shipping agents, finding & trialling alternative suppliers where necessary, monitor shipping rate trends.

  • Ensure all imported stock meets correct sailings to achieve production timelines.

  • Record shipments & supplier communication.

  • Ensure relevant shipping documents are received promptly & are sent to correct parties for customs clearance/release.

  • Maintain a good working knowledge of tariff codes & customs entry forms to assist with duty/VAT entry queries.

  • Assist with Far East supplier invoice queries as necessary. Sign off freight invoices & query with relevant party where necessary.

  • Resolve issues between warehouses & customers regarding alcohol related UK duty movements & clearance.

  • Arrange alcohol duty clearance for bonded products into duty paid warehouses.

  • Responsible for processing duty drawbacks.

  • Liaise with customer supply chain regarding availability & delivery; plan deliveries including arranging transportation & raise all relevant documentation.

  • Arrange UK collections where necessary.

  • Support all areas of the Operations department as required.

    Other duties include:

  • Take responsibility for planning, coordination and control of the production process for specified customers

  • Raise purchase orders and delivery  notes, update goods-in and finished goods information

  • Manage production schedules to establish lead times for each operation to meet shipping dates according to sales forecasts or customer orders

  • Ensure that UK production is cost effective and identify savings where possible

  • Monitor the production processes, suggest improvements and adjust schedules as needed to ensure customer expectations are met

  • Resolve issues relating to planning conflicts and issues

  • Calculate pallet configurations using industry recognised software



This position works Monday to Friday with excellent benefits which include 25 days holiday + Bank Holidays, 3pm finish on Fridays, contributory pension scheme and discretionary companywide annual bonus.
