Our Client based in Maidstone is currently looking to recruit a part time Site Administrator to join their team. This is an exciting opportunity to join a reputable company!

Working Wednesday, Thursday and Friday 8.30am – 4.30pm.

Duties will include:

  • To answer the main switchboard, screen and direct calls

  • To meet and greet clients

  • To take and relay messages

  • To provide information to callers

  • To keep staff and visitor movements in and out of the organisation

  • To receive and sort mail, as well as deliveries

  • To schedule appointments requested by Managers / Supervisors

  • To organize timetable for meetings and board room.

  • To ensure the reception area is tidy and presentable at all times

  • Responsible for management organisation chart

  • Responsible for collating and preparing memo’s and newsletters

  • To provide general administrative support to the HR department and the Management team

  • To work closely with HR department to do the following:

    1. Filing and photocopying

    2. Send out letters to staff e.g. mail merge

    3. Keep relevant paperwork and spreadsheet up to date for labour analysis and daily scorecard

    4. Raise purchase orders on in SAP system

    5. Schedule employees for Occupational Health in HR Coordinators absence

    6. Complete part payroll in HR Coordinators absence.

  • Take and record minutes at the daily morning meeting

  • To take and update minutes from the H&S, Site safety and Environmental meeting.

  • Reconcile stock level for first aid boxes

  • Monitor and record accident and near miss spreadsheet

  • To book hotels and hire cars as and when requested

  •  To arrange lunch and refreshments for visitors

  •  To order stationery for the site and ensure costs are kept to a minimum

  •  To ensure notice boards are up-to-date

  •  To arrange courier services

  •  Any other ad-hoc duties as and when required

     

     

    Education, Skills and attributes:

     

  • To have achieved GCSE qualification

  • Minimum of 2 years Administration duties 

  • Excellent telephone manner

  • A desire to learn and grow with the company
